Administrative Assistant – Owen Sound (Permanent Full Time)

 

The Opportunity: 

 

At this time, the South West Local Health Integration Network is seeking one (1) permanent full time Administrative Assistant in our Owen Sound location. The Assistant provides confidential administrative support to, and completes research on a variety of topics for, the Manager and their respective department.

 

The successful incumbent will prepare presentations, reports, correspondence, and coordinate meetings and calendars. The Administrative Assistant work in a fast-paced environment while maintaining accuracy and reliability of work performed.

 

What will you do?

 

As an Administrative Assistant, you will: 

  • Prioritize information needed, and prepare briefing materials and background documents for meetings or pending decisions for the Manager.
  • Prepare agendas and takes minutes at meetings.
  • Act as a liaison in matters involving committees of the Manager and matters requiring interdepartmental coordination.
  • Prioritize and manage the Manager’s calendar, set up meetings on his/her behalf and resolve scheduling conflicts
  • Handle logistics for travel, accommodation, seminars, meetings and presentations.
  • Directly respond or coordinate responses to requests for information from internal/external parties.
  • Develop and maintain a document management system.
  • Complete projects as assigned.
  • Maintain status reports for departmental projects.
  • Initiate and maintain data management reports and provide analysis for manager review. 

What must you have?

 

Education: 

  • Community or College Diploma in Administration, Business, or a related field; or the equivalent combination of education, training, and experience. 

Experience: 

  • Demonstrated experience providing a variety of complex administrative services to a team.

Knowledge, Skills, and Abilities: 

  • Comprehensive knowledge of and proficiency with PC based Hardware/software and inter/intranets
  • Proficiency in Word, Excel, Outlook, Power Point, SharePoint, Adobe Acrobat Standard.
  • Excellent verbal and written communication skills to effectively communicate with staff at all levels, including the general public and to prepare/edit drafts.
  • Excellent time management, organizational and attention to detail skills and abilities to prioritize multiple, often conflicting demands.
  • Effective relationship management and interpersonal skills including the ability to work effectively in a team and to portray a professional image of the LHIN.
  • Ability to organize and prioritize assignments based on knowledge of the LHIN and functional and portfolio areas to work effectively and efficiently for a number of staff with differing work styles.
  • Ability to work under pressure and meet deadlines. 

Preferred Qualifications: 

  • Experience in a health care environment considered an asset.
  • Proficiency in a second language, particularly French.
  • An ambassador of workplace culture.
